Domain email vs free email

There are two kinds of email addresses: free ones from Gmail, Outlook, or Yahoo (you@gmail.com), and custom ones using your own domain name (you@yourcompany.com). The difference is not technical — both work the same way under the hood. The difference is perception and control.

A custom domain email says “I am a serious business” within milliseconds of someone reading your address. It builds trust before you have said a word. It also means you own the address — if you switch internet providers or fall out with a free email service, your email address moves with your domain, not with the service. That portability is critical for a business that has built its reputation on contacts@yourcompany.com being the same address for ten years.

MX record setup

MX (Mail Exchange) records tell the internet where to deliver email for your domain. Setting them up is the most important step in getting business email to work. The process is the same regardless of which provider you choose:

  1. Log into your domain’s DNS management panel (usually in your hosting control panel or at your domain registrar).
  2. Find the MX records section. Delete any existing MX records that point to old providers.
  3. Add a new MX record with the mail server hostname provided by your email provider. Set the priority (lower numbers have higher priority).
  4. Save the changes. Propagation usually takes 1–2 hours but can take up to 48 hours in rare cases.

Creating mailboxes

Once your MX records point to your email provider, the next step is creating individual mailboxes for your team. Each mailbox is a full email account with its own login, inbox, sent folder, and storage quota.

In cPanel, go to the Email Accounts section, enter the desired email address and password, set a storage quota, and click create. The mailbox is ready immediately. You can access it through webmail (Roundcube or Horde), configure it in Outlook or Apple Mail using IMAP, or set it up on your phone. Repeat for each person in your organisation who needs a professional email address.

Deliverability basics — SPF, DKIM, DMARC

Getting email delivered is about more than MX records. SPF, DKIM, and DMARC are DNS records that prove your email is legitimate and not spam or phishing. Without these, your business emails are more likely to land in the recipient’s spam folder or be rejected entirely.

SPF (Sender Policy Framework) lists the servers authorised to send email for your domain. DKIM (DomainKeys Identified Mail) adds a digital signature to each outgoing message that receivers can verify against your DNS. DMARC (Domain-based Message Authentication, Reporting & Conformance) tells receivers what to do if SPF or DKIM checks fail — deliver, quarantine, or reject. Most email providers provide the exact DNS values to add. Once configured, your deliverability improves dramatically.
